Pre-Collection Letter Service Program

H.F. Communications Letter Service Program is what we recommend you start the collection process with.  This allows you to still remain in control of the accounts, while we get our third party urgency involved as well.  The best time to place your accounts into the letter program is 60-120 days past due. By doing this, your account still remains a priority to your customers and you are able to get more of your accounts to pay.  The earlier you place your accounts the more collectable they are going to be. 

There are three different approaches we can use to reach your customers:

Standard:  This program consists of four letters that go out every 10 days.  They are laser printed, hand-signed letters so you are getting the personal touch and quality put into a letter, rather than a mass printed computerized dun.  We find the standard setup to be most useful and the best way to create urgency for your customers to pay, and not feel alienated.

Customized: Although we recommend you use our standard letter series, we can alter the daily intervals the letters will be sent to your customers.  You can choose to send the letters every seven, eight, nine, or ten days.  The earlier you send the letter the more urgent it becomes to them.  This is something you probably want to do on your larger balanced accounts.

Audit Letter Option: This approach looks to your customers that we are just sending out the letters to help you clean up your in house receivables.  The way that this option is different is that we send out an entirely different first letter than the standard series.  Letters two, three, and four are the same as the standard approach.
